Start with the project's actual requirements

Review the contract, solicitation, funding requirements, records policy, and approval roles before configuring a platform. The required registers and deadlines come from those authoritative documents; a generic template should not replace them. Name who can submit, review, approve, distribute, and archive each record type.

Typical record categories include drawings, specifications, submittals, RFIs, meeting decisions, change correspondence, transmittals, and closeout deliverables. Agree naming rules, metadata, revision handling, and permissions so the field and office teams can distinguish a current approved record from an older or unreviewed copy.

Connect submittals and RFIs to a durable record

A submittal register can connect an item to its specification reference, submitter, reviewer, due date, disposition, and supporting files. The project determines the approval authority and the meaning of each disposition. Document control records the decision; it does not replace the responsible professional's judgment.

An RFI workflow should preserve the question, referenced drawing or specification, assigned reviewer, response, and distribution record. Keep resulting changes connected to the appropriate approval and change-control process rather than treating an email reply as automatic authorization to alter work.

Plan closeout from the beginning

  • Create a closeout register with required deliverables, acceptance criteria, owners, and due dates.
  • Track record drawings, operation and maintenance manuals, warranties, and other contract-required turnover items.
  • Preserve approvals and transmittals with the final accepted records.
  • Agree who receives the records, how they can retrieve them, and which retention rules apply after turnover.

Choose technology after the workflow is clear

SharePoint, Microsoft 365 workflows, and document-management applications can support an agreed record structure. Evaluate version control, search, external access, field usability, integration boundaries, licensing, and support responsibilities against the project's requirements before choosing a tool.
